From the time of issuance of a certificate, the management system must be monitored through surveillance audits in accordance with the specified audit programme. These Surveillance audits are always planned and never carried out unannounced.
It is required that Surveillance audits are carried out at least once per year for each management system in place. The date of the first surveillance audit shall be no later than 12 months after the last day of the second phase of the audit. The deadline for the subsequent surveillance audit is a maximum of 12 months from the last audit( but must take into account the audit results).
Surveillance audits are carried out according to audit plans to systematically monitor the critical areas and functions within the scope of certification of the management system (taking into account changes in your system).
Surveillance audits are conducted on-site and include (but are not limited to) evaluation of
- internal audits and management reviews;
- review of action taken in respect of non-compliance identified during the previous audit;
- complaints handling;
- management system performance in terms of achieving the Organizations objectives,
- the progress of continuous improvement;
- the internal audit methodology;
- review any significant changes;
- the use of the BPIC logo and / or any reference to the certification.
On completion of the Surveillance audit the report is presented to the Organization’s Top Management the Management representative or during the closing meeting.
As a result of the Surveillance audit, the following may occur:
- the validity of the certificate will be confirmed;
- the validity of the certificate will be confirmed subject to conditions (verification of the implementation of corrective action through review of documents / supplementary audit);
- suspension / revocation of the certificate.
Although the surveillance audits are a formal activity, the benefits include:
- providing confirmation to customers and shareholders, that the system continues to meet the Standard’s requirements;
- assistance to management and whole organization in achieving continuous improvement by providing an external independent view of the management system.
